Dear Housemates
Congratulations on reaching the end of the academic year! I hope you do well in your exams and end of term coursework. Please communicate this information to your other housemates who may not have read or received this email.
I just wanted to make contact to reassure you your house is allocated to your group. We are very much looking forward to welcoming you and hope that you will be very happy.
There are a few issues you may wish to note meantime concerning payment of rent and collection of keys.
Standing Orders
Please remember that your rent is due on 1st June 2008, just under a month from today. If your rent is being paid by standing order, please check that your rent leaves your account on this date. Occasionally standing orders do not go through. Please remember that we have no control over your standing order; if your bank does not transfer your rent, we cannot collect it at a later date. If your rent does not leave your account, please arrange an alternative means of payment using one of the payment option detailed on http://www.leydonlettings.co.uk/payments.html.
Annual Payments
For anyone wishing to pay rent annually you qualify for a £100 discount. In order to qualify for this, your rent must be paid in full by 1st June 2008. If you cannot pay the full amount on 1st June 2008, you may pay the first quarter only, with the rest of the year’s payment to follow. This will qualify for a lower discount. If you pay the whole year in one payment but this payment is late then no discount applies and you may be in breach of contract unless we have specifically made a written exception for you.
Delayed Payments and Fees
If there is likely to be a delay in payment, please email to advise us of this as soon as you are aware. Communication in these matters is essential. If we do not hear from you, we are left no option other than to assume you are avoiding payment. In such cases, a late payment fee of £35 and reminder fees of £15 per reminder may be charged. We do not like applying these charges, but rent chasing is costly. If you contact us promptly with any problems regarding rent payment, and honour any subsequent agreement, these fees are far less likely to be applied.
Unsure or Unable to Move in
Tenants who miss the first payment occasionally do not take up their place in the house. Should you be reconsidering your place you must inform us immediately. If you find a replacement to make payments as of 1st July 2008, we will not hold you liable for rent if there is no loss to us. Should you not find a replacement until later in the year you will be liable for any rent lost in the meantime. The later you leave it to inform us of your absence the more difficult it is to find a suitable replacement. All tenants on the same contract are together jointly and severally liable for rent payment and thus should one of your housemates not pay rent, the rest of the household may also become liable. In 20 years we have never held paying tenants liable for the debt of a non-paying tenant as the defaulting tenant is always pursued first, but please bear in mind that the option is open to us. Therefore, I would ask that you all encourage each other to pay rent in full and on time.
Summer Residency
Full Summer Rent
If you are paying full summer rent, you are entitled to move into your house as of 1st July 2008 (notice of arrival date does need to be given). Please note that you are also required to pay full bills if you are residing in the property. No bills are payable for those not living in the house over the month of July and August 2008.
Half Summer Rent
If you are paying half summer rent only, you may not move in until 1st September 2008 unless specifically agreed otherwise. If you wish to move in during July or August please email as soon as you are aware. Any difference in rent, to reflect full rent plus bills for the portion of July & August in which you are resident, is payable before your arrival. In some instances, redecorating and renovation may mean you are not permitted to arrive early.
Moving In
Whether you move in during the months of July and August or wait until September, you need to email fourteen days prior to your moving in date. We will normally meet the first person to arrive at the house, who will then liaise with the other members to let them in. Therefore, please find out who is the first to move in. This person needs to contact us with the date and a preferred meeting time. If you simply turn up at the house and telephone there may be a delay in getting to you. All bedroom door keys with front door keys attached will be left in the locks inside of each bedroom door.
